Days Off Calculator

Free online days off calculator to estimate the total number of days away from work in a selected period from annual leave, public holidays, and other planned time off. This calculator is useful for employees, HR teams, managers, planners, and business owners who want a quick way to understand how much scheduled work time is being taken off during a month, quarter, or year. It is especially useful for workforce planning, leave tracking, and checking how much of the working calendar remains available.

This page uses four main inputs: vacation or annual leave days, public holidays, personal or other days off, and the total working days in the period. The calculator adds all days off together, subtracts them from total working days, and then shows the share of the period taken as time off. It also converts the total into equivalent weeks off based on a 5-day workweek. These outputs make it easier to compare time-off plans across people, departments, or reporting periods.

The formula of days off

Total days off = Vacation days + Public holidays + Personal days

Remaining working days = Total working days – Total days off

Days off percentage = Total days off / Total working days x 100

Equivalent weeks off = Total days off / 5

Here vacation days means planned annual leave or paid leave, public holidays means official holiday dates in the selected period, personal days means any additional planned time away such as personal leave or other approved days off, and total working days means the full work calendar for the same period.

Solved Example

Example 1: Find the total days off if vacation days are 15, public holidays are 10, personal days are 5, and total working days are 260.

Solve: Total days off = 15 + 10 + 5 = 30 days

Remaining working days = 260 – 30 = 230 days

Days off percentage = 30 / 260 x 100 = 11.54%

Equivalent weeks off = 30 / 5 = 6.00 weeks

Example 2: Find the result if vacation days are 12, public holidays are 8, personal days are 3, and total working days are 250.

Solve: Total days off = 12 + 8 + 3 = 23 days

Remaining working days = 250 – 23 = 227 days

Days off percentage = 23 / 250 x 100 = 9.20%

Equivalent weeks off = 23 / 5 = 4.60 weeks

Example 3: Find the result if vacation days are 20, public holidays are 11, personal days are 4, and total working days are 261.

Solve: Total days off = 20 + 11 + 4 = 35 days

Remaining working days = 261 – 35 = 226 days

Days off percentage = 35 / 261 x 100 = 13.41%

Equivalent weeks off = 35 / 5 = 7.00 weeks

How to use this days off calculator

Enter the number of vacation or annual leave days in the proper input field. After that, enter the number of public holidays in the same period and then add any personal or other planned days off. Finally, enter the total working days for that same period and click the calculate button. The calculator will show total days off, remaining working days, days off percentage, and equivalent weeks off in the result box.

This calculator is useful when planning staffing cover, checking leave balance impact, reviewing yearly work availability, and comparing how much scheduled time off different employees or teams may take. A higher days-off percentage may be normal in some calendars, but it can also signal that a team needs more coverage planning or workload balancing. Looking at remaining working days next to the days-off total gives a more practical planning view than looking at leave days alone.

When using the result, remember that real availability can also be affected by weekends, sick leave, overtime arrangements, half-days, and company-specific calendar rules. Even so, this calculator gives a clear first-pass estimate of scheduled time away. It supports workforce planning, HR reporting, leave discussions, and personal time-off budgeting.
